Travel priced into the deal, not discovered after it
The travel line in a tour budget is usually a guess made under deadline. Send us a draft routing and party size while the deal is still forming, and we return real numbers: fares, rooms, ground and baggage against the actual dates. The offer goes out with travel costed, and the margin you modelled is the margin you keep.
Built around how promoters and agents actually work
- One relationship across your whole roster: every act gets its own tour file, you get one contact who knows all of them
- Settlement ready reconciliation: every cost lands per show, line by line, in a format that drops straight into the settlement pack
- Confidentiality as standard: routings, holds and talent movements are visible only to the people you nominate, which matters most before a tour is announced
- Direct with the tour manager or through your office, whichever the act's structure requires, with your office copied on cost exposure either way
- Billing terms structured per tour and agreed up front, so cash flow around deposits, ticketing revenue and settlements is planned rather than argued
Transparent fees
Our service fees are itemised on every invoice against a published schedule. You always know what the travel cost and what our work cost, as separate lines. No margin buried in a fare.
A specialist desk, not a division
The large corporate players run entertainment as one desk inside a many industry business. Gig Travel runs nothing else. We are ATAS accredited (A18660), IATA licensed (02367971) and based in Melbourne, working across Australia and every touring market. When your acts hit festival season, the same desk runs the lineup logic.
Test us on the next offer
Send a draft routing on the next deal you are modelling and measure the response against whatever you are doing now. Urgency is matched to the deal: an imminent on sale gets immediate numbers, a forward budget gets considered ones, and a charter cancellation at 3am gets answered at 3am.
Send a draft routingQuestions we get asked
Can you quote a tour before it is confirmed?
Yes, and that is the point. Draft routings are priced against real fares and rates so travel is costed inside the offer, not estimated. When dates firm up, the quote converts to bookings without rework.
How do you handle confidentiality before a tour is announced?
Routings, holds and talent movements are restricted to nominated contacts only. Unannounced tours are handled under the act's working title where required, and nothing is visible beyond the people you name.
Do you work with the tour manager directly or through our office?
Either, act by act. Many promoters have us work directly with the TM on logistics while the promoter's office receives all cost reporting. The structure is set per tour, your call.
What is your fee model?
Itemised service fees against a published schedule, shown as separate lines on every invoice. Travel cost and service cost are never blended, so you can always see both.
Can you run multiple tours for us at the same time?
Yes. Each tour lives in its own file with its own budget and reconciliation, under one relationship. Simultaneous runs are normal operating conditions for this desk, not an exception.
